Job description
You’ll be the person a family relies on once they’ve decided to work with the firm. Advisors here run a tight process: two or three meetings, a plan built by the paraplanning team, and documents out for signature at the end of the second meeting. At that moment, you join the call, the advisor introduces you, and the relationship becomes yours. You manage the paperwork and onboarding, move and track assets according to the plan, keep the client updated, run their review meetings, and become their main point of contact for years.
The structure is deliberate. The firm has organized into service teams so advisors can stay focused on new families and clients always have a dedicated person who knows their plan. You’ll have a client service specialist supporting you on routine paperwork, processing, and account maintenance, so your time goes to work that needs a licensed professional. If you don’t yet hold your Series 65 and Life and Health licenses, you’ll earn both in your first 90 days.
Our client is a retirement planning and tax firm that has served more than 5,000 families over 22 years, with advisors licensed in 40 states. The founder hosts a weekly program on CNBC, and the firm’s work is education-led and fiduciary throughout, organized around the idea that what retirees are really buying is peace of mind. Recognition is external and recent: Inc. Best Workplaces 2025, Inc. 5000 2026, and BBB Torch Awards for Ethics in 2019 and 2024. The firm did about $10 million in revenue last year and is building toward $65 million within five years.
The firm hires people who can do the job from day one. You’ll learn their systems, but they’re counting on you to bring the core client service skills with you.
What makes this role unique?
You own the relationship. The advisor hands the family to you at signing, and your job is keeping them well served, retained, and happy to refer friends.
Licensed work, not clerical work. Specialists handle the routine paperwork, so your time goes to reviews, money movement, and client conversations.
Tax and planning in one place. You’ll deliver and explain tax returns prepared by the firm’s Enrolled Agents, so you see the whole financial picture, not just the account.
A team that likes working together. The firm describes itself as a group of friends building something bigger together, and the service model depends on handoffs that work.
Room to lead. Experienced CSAs mentor new ones, and the team is growing as the firm adds advisors.
What you will do
Earn your Series 65 and Life and Health licenses within your first 90 days, if you don’t already hold them.
Join advisor meetings at the close, take over the paperwork, and manage every step of onboarding.
Transfer and track client funds according to the plan, and handle ad hoc trades and distributions.
Review, research, and correct paperwork so accounts, transfers, and investments are in good order.
Send clients progress updates at regular intervals and conduct their review meetings.
Serve as the main point of contact for your clients, coordinating with the lead advisor and resolving issues as they come up.
Deliver and explain tax returns prepared by the firm’s Enrolled Agents.
Keep HubSpot records and notes current and accurate.
Explain the firm’s investment approach and policies clearly to clients.
Mentor new CSAs alongside their manager, and take part in internal training and company off-sites.
The ideal candidate
You have at least three years of direct client service or sales experience in insurance or securities. You understand annuities and retirement accounts and can explain them simply to people in or near retirement. If you already hold your Series 65 or insurance licenses, that’s a plus. If not, you’re a strong test-taker who can earn both within 90 days.
You’re the person clients trust. You anticipate what they’ll need, follow up before they have to ask, and treat every promised deadline as fixed.
You’re consistent. You follow the process the same way each time, and you take ownership of your results without being prompted.
You communicate clearly in writing and in person, and you’re comfortable leading a review meeting on your own.
You’ve worked in a CRM and with custodian platforms such as Schwab or Fidelity. HubSpot and RightCapital experience is a plus. A college degree is preferred.
