Job description

This is the seat where the firm's client relationships begin. Prospects hear your voice when they register for a seminar, see your face when they walk in, and often come back for a first meeting because of you.


Our client is a holistic financial planning firm in east Anaheim with two advisors, a small administrative team, and more than $240 million under management. Clients come to the firm for investment management, tax planning, insurance, estate planning, and lending. The advisors hold credentials including the CFP and a certified estate planner designation. A large share of the firm's growth comes through its educational seminar program, and that program runs through you.


The firm is starting a deliberate growth phase. Over the next two years it plans to double the team, triple the administrative staff, and move into new office space. The owners see this hire as foundational. They want people who will stay for the long run and pitch in beyond the job description when the team needs it, and they intend to pay fairly for that. They're just as clear about what they won't ask for: no 6 a.m. arrivals, and no culture where you have to be the last one out the door.


The work follows a seasonal rhythm. Seminar weeks, and the weeks before them, are full: registration and confirmation calls, restaurant coordination, mailers with a firm 50-day deadline, and event setup. Between events it gets quiet. That's when you'll turn to client paperwork, Redtail, onboarding, and improving how the office runs. The firm is replacing ad hoc habits with structured workflows and real calendar deadlines, and you'll help build them.

You start relationships the advisors finish. Clients have hired this firm because of a long conversation with a team member at a seminar. Here, being warm and taking time with people counts as real business development.

You're part of the core team. The firm is hiring the people who will set the standard as it doubles in size. Your habits become the model for everyone who follows.

The pay is designed to attract experienced people. The firm deliberately moved its range up so it could hire people with real experience, inside or outside financial services, and keep them.

There's a visible path upward. As the firm grows, this seat can lead to office manager, to an operations manager role where you lead the admin team and still do hands-on work, or to a paraplanner track. Credential testing fees are reimbursed after a year.

You help shape how a growing firm works. The owners want your ideas on improving client onboarding, event workflows, and even the layout of the new office.

Employee ownership is the long-term vision. The owners want the team to share in the firm's success, not just the advisors.

You get time to learn before the busy season. November through January is the firm's lightest stretch, so a start in that window gives you a calm ramp before seminar season.

What you will do

  • Run the logistics of the firm's seminar and workshop program, about 20 morning and dinner sessions a year: scheduling, registration, and the firm's call-back confirmation process, which requires at least two confirmation calls per guest.

  • Manage event timelines, including mailers (a 60-day target with a firm 50-day deadline) and coordination with restaurants and venues.

  • Arrive first to set up morning workshops and evening dinner events, greet guests, and spend real time in conversation with prospects and clients.

  • Support the quarterly lunch and learns and the annual client appreciation event, which takes months of planning.

  • Follow up with prospects after events and schedule their first meetings with the advisors.

  • Answer phones, greet clients warmly, and offer hospitality to clients and guests in the office.

  • Schedule and confirm client appointments and help manage advisor calendars in Redtail.

  • Prepare onboarding paperwork for new clients, support transaction processing, and keep detailed, accurate client notes in Redtail.

  • Handle document management, including scanning, secure uploads, and both paper and electronic filing.

  • Look for better ways to do things, such as client onboarding, event workflows, and office setup as the firm moves. Then help put those improvements in place.

  • Pitch in wherever the team needs you, including when an advisor has to run to a meeting and something has to get done.

The ideal candidate

  • You have 5+ years in a client-facing role where you started and deepened relationships, not just processed them. Hospitality, events, client relations, sales support, and other relationship-heavy fields all translate well. Financial services experience is a plus.

  • You're warm, bright, and trustworthy, and you put people at ease quickly. You enjoy small talk and know how to take it somewhere deeper. You're comfortable on the phone and genuinely enjoy getting to know retirees and pre-retirees, who make up much of the seminar audience.

  • You're highly organized and detail-oriented. You can juggle event deadlines, guest lists, and client paperwork at the same time without letting anything time-sensitive slip.

  • You figure things out. When there's no ready answer, you call the back office, or two departments, and come back with a solution.

  • You think like an owner. You want to help build something and stay to see it grow.

  • You're confident across different platforms and systems. Experience with Redtail or another CRM, plus Outlook, is a plus.

  • You communicate clearly and professionally, both in writing and in person.

  • A bachelor's degree is preferred but not required.

  • You can work in the office Monday through Friday, 9 to 5, and support occasional early-morning and evening events.
