Job description

Our client is a fast-growing, high-volume wealth management firm with five producing advisors in its main office and a serious operations engine underneath them. The volume of work these advisors generate is significant, which is exactly why this role exists. The firm runs on precise, time-tested playbooks, covering everything from portfolio administration to annuity submissions to how a fax gets followed up, because those processes drive consistent, measurable client outcomes and high close ratios.


This is a high-volume operations seat handling everything an advisor needs that does not require a license. You'll train directly under the firm's operations leader — ranked among the top five for Schwab and Fidelity in the country, and someone who has trained dozens of operations professionals on systems built to run at scale. The firm needs two of these hires as quickly as possible, so this is a chance to get in early on a team that's still building.

What you will do

  • Own the licensed-advisor support workload — beneficiary changes, address updates, account maintenance, and custodial paperwork.

  • Complete Schwab, life, and annuity applications accurately, following the firm's step-by-step playbooks precisely.

  • Coordinate with custodians and insurance carriers, including disciplined follow-up on submissions so nothing falls through the cracks.

  • Support client onboarding, which can include sitting with a client to complete Schwab applications alongside a servicing advisor.

  • Manage a high daily volume of advisor requests with speed, accuracy, and consistency.

  • Use the firm's CRM to schedule and track follow-up activities exactly as the playbooks prescribe.

The ideal candidate

  • Some operations experience is strongly preferred — the firm wants someone not fully green operationally, though coachability matters more than tenure.

  • Genuinely coachable — you follow proven, detailed processes step by step rather than deciding you've outgrown them. Playbooks here run 40 to 80 steps per meeting for a reason, and adherence drives the result.

  • High intelligence, high capacity, high volume output — this is a demanding seat and the firm hires for it deliberately.

  • Strong organization and follow-through, with real attention to detail on paperwork and deadlines.

  • Charismatic and clear on the phone and in email, where personality still comes through, even if the role isn't primarily client-facing.

  • No licensing required.

  • Ambition to grow — the firm wants people who want to advance within operations, not coast.
