Job description
Own your workflows. Know your clients. Get things done.
Our client is a fully independent RIA with offices in Excelsior and Montevideo, Minnesota, while serving clients nationwide. The firm runs on well-built processes, a get things done culture, and a two-person team that moves fast and expects the same from everyone around them. They're adding a Relationship Manager to the metro office — the firm's operational center — and this role is the connective tissue between the advisor, the clients, and everything that needs to happen before and after every meeting.
This is not an administrative job where someone hands you tasks. You'll own your workflows, take initiative during the slower seasons, and be the kind of person who sees something that needs doing and does it.
What makes this role unique?
A firm that is honest about who it is. Peak seasons (February–April and September–November) are busy but manageable. Recovery seasons are intentional and used well. You'll always know where you stand and what's expected.
Real ownership from the start. Your workflows are yours. You're responsible for keeping them current, flagging changes in the weekly staff meeting, and making sure nothing falls through the cracks.
A path forward for the right person. The firm will send you to professional development programs if you want to grow — and if you have the ambition, a transition into an associate advisor role is possible over time.
What you will do
Own the meeting scheduling workflow end to end — from sending invites to preparing client materials and coordinating signatures on forms before they move to operations.
Organize and process post-meeting notes using the firm's AI note-taking tools, converting them into the firm's standard format and scheduling next steps.
Maintain and update your assigned workflows in Redtail, communicating any changes at the weekly staff meeting.
Take initiative during slower periods — cleaning up data, working through file organization, and identifying what needs attention without waiting to be assigned.
Work in close coordination with the operations manager, who handles money movement, new accounts, and transfers; your lane is the relationship and meeting side.
The ideal candidate
Strong customer service instincts — backgrounds in healthcare, hospitality, or other client-facing service environments are a great fit. Prior financial industry experience is not required.
Reliability and honesty about your time. The firm has a zero-tolerance policy on time reporting integrity. If you're running late or stepping out, you communicate it. That's the standard.
A self-starter who takes ownership of quiet time rather than waiting for direction. There is always something to do.
Comfort with or willingness to learn Redtail (CRM), Office 365, VoIP, and Teams.
No degree required — what matters is that you show up, stay engaged, and hold yourself to a high standard.
