Job description

This is the seat that sets the tone for every client who walks into the Franklin office, and it also keeps the office running.


Our client is an independent wealth management firm with offices in several states, recognized by Forbes as a Best-in-State firm for personalized financial planning and investment management. The firm recently made the move to full independence and is growing, which means each office matters to how clients experience the firm as a whole. In Franklin, much of that experience is shaped by you: how you greet clients, how quickly their call gets answered, and how smoothly their meeting comes together.


You're also the operational hub for the office. You'll support advisors directly, handle work that touches the firm's compliance obligations, and help create the events and onboarding moments that define the culture. The firm is known for a culture built on respect and alignment, where staff are expected to contribute to long-term growth rather than just complete tasks.


The pace is steady and the work is varied. In a single afternoon you might welcome a longtime client, log and process a check, and sort out logistics for next month's client appreciation event. Accuracy and warmth carry equal weight. A misrouted check is as much a problem as a cold welcome.

What you will do

  • Greet clients, guests, and team members, and serve as the first point of contact in person, by phone, and by email.

  • Manage advisors' calendars, schedule meetings, and coordinate meeting logistics.

  • Process client account checks accurately and in line with FINRA and SEC requirements.

  • Support compliance through organized document management and timely, accurate recordkeeping.

  • Run day-to-day office operations, including mail, supplies, vendors, and facilities.

  • Help plan client events, appreciation activities, conferences, team-building, and community involvement.

  • Prepare workstations and orientation materials for new employees.

  • Route client and team requests to the right person, escalate when appropriate, and provide administrative support across departments and special projects.

The ideal candidate

  • You have at least 2–3 years of experience in administration, reception, or client service. Event coordination or financial services experience is a plus, not a requirement.

  • You're organized enough to juggle a ringing phone, a guest in the lobby, and a check that needs processing without letting any of them slip.

  • You write and speak clearly and professionally, and you're comfortable across the Microsoft Office Suite.

  • You handle confidential information with discretion, which is non-negotiable at a firm that manages clients' finances.

  • You're warm and approachable by instinct, and you take real pride in making people feel looked after.

  • You're dependable and have a growth mindset. You want to learn how the business works, not just cover the desk.

  • You hold a high school diploma or equivalent; an associate or bachelor's degree is preferred.

  • You can travel independently for occasional training, meetings, or client visits, including an occasional overnight stay, and you can lift 10 lbs.
